Accessing Public Folders on Outlook 2016 or 2019

The following instructions will assist you in mapping a public folder into Outlook 2016 or 2019. If you switch to a different computer, you will need to follow this process again. The public folder is mapped to the Outlook application, not to your email account. 

Accessing Public Folders in Outlook 2016 or 2019

  1. Open the Outlook email application and click on the ellipsis in the bottom left hand corner.

  2. Select Folders from the ellipsis menu.

  3. You will now see a new section in the navigation bar on the left side of the screen called Public Folders - your email address. Click on the arrow to expand the section and then select All Public Folders.

  4. The public folders are listed in alphabetical order by department. Select the appropriate folder and public folder. 
  5. As long as you have the appropriate permissions, you will now be able to view all of the messages that you have sent (in your sent folder) and received in the public folder. You will also be able to view and make changes to the calendar that is attached to the public folder. 
     

Adding Folders as Favorites

To add a folder as a favorite, follow the following steps. 

  1. Navigate to the Public Folder you would like to access using the instructions above.
  2. Right-click on the desired Public Folder, and select Add to Favorites.

  3. Under the Favorites folder, you will now see your selected folder.
