Service Description
The University of Nevada, Reno’s Office of Information Technology (OIT) provides the NevadaBox (box.unr.edu) service as a cloud-based content management and filesharing solution for faculty, staff, and students. The mission of this service at the University is to allow for the controlled sharing of files with groups or individuals outside of the institution, or for a modest online cloud file storage and collaboration solution when NevadaBox is more appropriate than other University-approved and supported platforms.
General Policies
- No personal or private data should be stored on NevadaBox. The use of this service is provided to support the work of the University.
- The types of data that may be stored at NevadaBox are listed on the storage solutions by data type webpage, and sharing of that data should be carefully considered using the information about restrictions and controls related to that data type.
- Each user controls access to the data stored in their own NevadaBox folders and is responsible for managing that access.
- Requests for access may only be granted by the owner of those folders.
- In the case that a user that has left the University, a transfer of ownership request may be initiated by requesting an Authorized Employee Data Release Request.
- Each department controls access to the data stored in departmental or group NevadaBox folders and is responsible for managing that access. Departmental or group folders should have at least two owners to prevent loss/delay of access of departmental data if one owner departs the University.
- Requests for access may only be granted by the specified owner(s) of those folders. If no owner can be identified, the department or unit administration will be assigned the access request.
- The management of ownership, permissions, sharing, transfer, and quotas are the responsibility of the data owner(s) using instructions on the NevadaBox support page. OIT is not to be asked to perform these tasks and will only assist in the transfer of ownership/responsibility for these tasks if requested properly using the access request form on NevadaBox.
- Data may be recovered according to current box.com retention policies. The policy in place at the time of this writing is that data may be recovered for up to 14 days after deletion. Backup or recovery outside of box.com policies is the responsibility of the folder owner(s), and box.com retention/recovery policy changes are outside of the control of the University.
- Users are granted an initial quota of 50GB and may request an increase to 100GB on the NevadaBox support page. Increases beyond 100GB are subject to approval and may be temporarily granted when appropriate. The NevadaBox storage is not unlimited.
- Departments or other units are granted an initial quota of 500GB and may request an increase to 1TB by requesting help on the group or organization NevadaBox support page. Increases beyond 1TB are subject to approval and may be granted when appropriate. Again, the NevadaBox storage is not unlimited.
- This service is monitored and the penalties for abuse/misuse of the NevadaBox environment is outlined in the UNR Network Use Agreement.
- The NevadaBox service is provided by box.com, and service interruptions of box.com are outside of the control of the University. Status of the box.com service is available at any time at on the Box status webpage.
Data Retention and Recovery
- Data may be recovered according to current box.com retention policies. The policy in place at the time of this writing is that data may be recovered for up to 14 days after deletion. Box refers to this 14-day window as ‘grace’ and references it on the Trash Management page. Backup or recovery outside of box.com policies is the responsibility of the folder owner(s), and box.com retention/recovery policy changes are outside of the control of the University.
- Users may not delete their own Trash. Trash is automatically deleted from a user’s trash after 90 days. If an item needs to be forcibly deleted before the automatic deletion, please use the NevadaBox Support Request Service.
- When a user’s NetID is deactivated due to separation their NevadaBox data is transferred to a holding account for 90 days then deleted. For questions about data owned by another user that may be deleted, please use the Authorized Employee Data Release Request.
- If a collaborator has permissions that include deletion, then any shared files they delete are transferred into that user’s trash, which will be automatically deleted in 90 days. In the case of deletion of shared data, please request that the user restore the data from their Trash.
Terms of Service
The terms of service below govern your use of the University’s NevadaBox service. Please read them carefully. If you do not agree with these terms, please contact OIT to close your NevadaBox account. These terms of service supplement any other existing agreement between you and the University of Nevada, Reno, regarding proper use and care of computing resources and accounts.
Use of NevadaBox
All University files, folders and information stored or shared in the NevadaBox accounts (individual or group) are owned by the University of Nevada, Reno. You may access, upload, download, and use the files only in accordance with directions from the University of Nevada, Reno. The University grants you a limited, non-exclusive license to access and use NevadaBox service, which can be revoked at any time. You may not publish, display, rent, modify, distribute or create derivatives of University files, folders or information unless separately authorized to do so by the University of Nevada, Reno. This policy is intended to restate the University's ownership interest in University property only. If you upload intellectual property that belongs to you, you retain your ownership interest.
Confidentiality of University of Nevada, Reno Information:
Files and folders on NevadaBox might contain information that is confidential to the University of Nevada, Reno. Do not disclose or use the files, folders or any information contained within them, unless you are directed to do so by an authorized University representative. You agree to maintain the confidentiality of such files, folders and information as well as the credentials for your NevadaBox account.
Prohibition on Use for Purposes Unrelated to the University of Nevada, Reno:
Your access to files, folders and information on NevadaBox is intended solely for purposes of business with the University of Nevada, Reno. You must not use your NevadaBox account for any other non-business purpose.
Consent to Data Transfer and Processing of Your Personal Information:
You should be aware that some common information used by NevadaBox service, such as your name, email address, title, and professional biography, could be shared and may be transferred, processed and stored in countries outside of the country in which you are based, including countries whose privacy and data protection laws are not equivalent to the laws in United States.
Suspension and Termination:
The University of Nevada, Reno may suspend or terminate your access to all files, folders and information stored in your NevadaBox account at any time and for any reason. You will return or destroy all known copies of files, folders and information upon the University of Nevada, Reno’s request. All provisions relating to confidentiality, non-disclosure and ownership rights survive any termination of your use of this service.

The University of Nevada, Reno makes no representations or warranties, whether express or implied, with respect to the files, folders and information, or the NevadaBox services. It is your responsibility to conduct appropriate checks before accessing and using NevadaBox, including scanning and/or filtering any files that you access and use for viruses and other malicious code.
Additional Terms:
The University of Nevada, Reno reserves the rights to add, delete, or modify any provision of this agreement by either posting the modified agreement for NevadaBox service or by notification to you. A copy of the most recent terms and conditions as well as policies will be available at all times on the NevadaBox Knowledge Base. By using the NevadaBox service you agree to abide by all the terms of service and policies governing the use of NevadaBox service. You should check periodically to see whether the terms and conditions described in this agreement have changed. Your continued access to the University files and folders within the NevadaBox service constitutes acceptance of such changes, except where further steps are required by applicable law.
These terms and conditions shall be construed, interpreted and governed by the laws of the State of Nevada without regard to conflicts of law provisions thereof. The exclusive forum for any disputes arising out of or relating to these terms and conditions shall be an appropriate federal or state court sitting in Washoe County, State of Nevada, USA. If any provision of these terms and conditions is held by a court of competent jurisdiction to be invalid or unenforceable, then such provision shall be enforced to the maximum extent permissible so as to affect the intent of these terms and conditions , and the remainder of these terms and conditions shall continue in full force and effect.
By accessing this service you acknowledge that you have read, understood, and agree to comply with these terms and conditions in connection with your use of the NevadaBox service for any work you perform on behalf of or with the University of Nevada, Reno. In addition, you consent to the transfer and processing of any personal information you submit.
